Team calendar and practice RSVPs: know who is coming

A team calendar should show when and where practice takes place, and who is coming. Collecting practice RSVPs in the same place gives the coach a player count to work with when choosing activities and groups.
The team also needs an agreed routine. Does the player or a parent respond? When does the coach need the answer? Who handles a change after the deadline? Here is how that can work over one practice week.
Agree where and when players respond
Choose one place to record availability. Keep your team chat for conversations, but give the coach one participant list to check.
Agree on these details:
- Whether the player or their parent responds.
- Whether everyone records both attendance and absence in advance.
- When the coach needs those answers.
- Who to contact if availability changes after the deadline.
For a real club example, Finnish club Pakkalan Palloseura's player guidance connects advance responses with planning coach numbers and practice content. Its deadline is a local policy. Set yours around when your own coaches finish planning.
If the coach prepares the session on Monday evening, a deadline at the start of Tuesday practice is too late to help with that work.
Include the arrival time as well as the start time
"Practice on Tuesday" leaves families with unanswered questions. If players should arrive before the booked field or hall time, put that in the description.
Here is a fictional example:
| Detail | Example |
|---|---|
| Event | Tuesday practice |
| Practice time | Starts at 6 p.m., finishes at 7 p.m. |
| Arrival | 5:50 p.m. at the hall entrance, recorded in the description |
| Location | School sports hall, entrance from the playground |
| Equipment | Kit for the sport and a water bottle |
| RSVP deadline | Monday at 8 p.m. |
| Changes after the deadline | Contact the head coach |
You can create recurring events for a weekly booking. Still check school holidays, cancelled bookings and venue changes. Families need to be able to rely on the details they see.
Check the missing responses too
Suppose your squad has 12 players. By Monday evening, eight have said they are coming, two are unavailable and two have not answered.
You have eight confirmed players and two unknowns. A missing response is neither a confirmed absence nor a promise to attend.
Prepare a session for eight and decide how two more could join. Two 2v2 games could become two 3v2 games if both arrive. Choose a rotation that lets players take turns on the team with the extra player.
CoachTruly supports email reminders to players and guardians whose responses are missing. Check the reminder setting and timing. A reminder cannot fix a family being unable to access the event or unsure who should respond.
Walk a parent through one real response
For the first event, check that the parent can see the right child and respond for them. A child does not need their own email address when a guardian is linked to their record.
If a family has more than one player, check each child's response separately. One sibling being available does not tell you whether the other is coming.
Once the RSVP deadline has passed in CoachTruly, players and guardians cannot change their answers themselves. A coach can update them. Agree how families should report a late change, such as illness on the day.
Attach the practice plan to the event
With the player count in hand, finish the groups, equipment list and assistant-coach responsibilities. The reusable practice plan template includes a worked session and an alternative for fewer players.
In CoachTruly, you can attach a saved practice plan to a team event. Coaches can then find the event details and plan together. Check the plan's visibility for the people who need to read it.
Keep a fallback in the plan, such as: "If six players arrive, run one 3v3 game and leave the second area unused." A late absence then calls for an adjustment instead of a new plan.
Explain the routine with one example
Adapt this message for your team:
Tuesday's practice time and location are in the team calendar. Please mark whether your child is coming by 8 p.m. on Monday. We use the responses to plan the practice groups. If availability changes after the deadline, contact the head coach so they can update the event.
Tell families where to get help signing in. Repeating a deadline will not help someone who cannot yet see the team's events.
If your club already requires a registration system, agree any change before introducing a second list. Maintaining two participant lists gives everyone more to check. You can use CoachTruly for practice planning while collecting responses elsewhere.
Start with your next practice
CoachTruly's team calendar, RSVPs and attendance tools are included in free use. Managing a team requires an account and the appropriate team permissions. If the club has not yet activated player data handling, its administrator completes that setup in the settings. Create the team and add players and any guardian links before collecting responses.
Sign in if needed. Then open the CoachTruly calendar and add your next practice once the team is ready. Check that one player or guardian can save a response, then walk the rest of the team through the same routine.
After practice starts, record who actually attended separately. RSVPs help you plan beforehand; attendance marks record what happened.
